About Us
Switch Mentoring and Switch Rugby are sister organisations based in Bristol, empowering people to reach their potential. Switch Mentoring delivers one-to-one and small-group mentoring for young people across Bristol and the surrounding area; Switch Rugby supports rugby development from grassroots through to academy level. We share a team, an office and a mission — and the new Administrator role will support both.
The Role
This is a brand-new role and a real opportunity to shape it. We’re looking for an organised, warm and self-starting Administrator to be the day-to-day operational backbone of both Switch Mentoring and Switch Rugby. You’ll work closely with the leadership team to keep everything running smoothly behind the scenes — from school liaison and mentor scheduling to safeguarding records, parent communication and social media.
It’s 15 hours a week, term-time only, with the working pattern agreed flexibly across the week to suit you. The role is office-based in Staple Hill, Bristol. Because it’s a new role, there’s genuine scope for it to grow — both in hours and in scope — for the right person.

Who We’re Looking For
We’re looking for someone organised, calm under pressure, and genuinely interested in the work we do. You don’t need to come from a charity or sports background, but a real interest in young people and community work will help you settle quickly.
Essential
- Strong organisational skills and an eye for detail
- Confident with Google Workspace (Gmail, Docs, Sheets, Drive, Calendar) and Microsoft Office (Word, Excel)
- Excellent written and verbal communication — comfortable representing us to schools, parents and partners
- Discreet and trustworthy — you’ll be handling sensitive information about young people
- Self-starter who can work independently and prioritise across two sister organisations
Desirable
- Previous experience in youth work, school administration or the charity sector
- Familiarity with the rugby environment (clubs, league structures, age groups)
- Experience with social media content scheduling and basic design tools (Canva or similar)
- Experience supporting safeguarding processes and record-keeping
What You’ll Do
- School liaison — first point of contact for the schools we work with
- Mentor scheduling and diary management across the mentoring team
- Help develop and deliver project-based work alongside our mentoring and coaching teams — we run a lot of work in this format and you’ll be central to making it happen
- Safeguarding administration — keeping records up to date and supporting our processes (note: this is a back-office role, not front-facing with young people)
- DBS tracking — managing renewal dates and chasing paperwork
- Social media content scheduling and parent / community communications
- Switch Rugby administrative support — fixtures, kit, registration admin
- General office administration: post, supplier orders, meeting coordination
This is a back-office role and is not front-facing with young people, so an enhanced DBS is not required for the role.
