At Switch Mentoring, we’re committed to creating a safe, transparent, and supportive environment for the young people, families, and schools we work with. To make it easy to find the information you need, our key policies are available to download below — either individually with a short summary of their purpose, or together as a full policy pack. These documents set out the standards, procedures, and commitments that guide everything we do.
Statement of assurance (September 2025)
Outlines Switch Rugby’s safeguarding and vetting practices, including recruitment checks, DBS certification, right-to-work verification, and insurance cover. It reassures schools and partners that all staff meet the necessary compliance standards.
Service agreement
Sets out the terms for mentoring services, including how schools can apply, referral processes, safeguarding responsibilities, session formats (on-site and off-site), parental permissions, monitoring, reporting, and payment conditions.
Whistleblowing policy
Provides staff and volunteers with guidance on raising concerns about malpractice, wrongdoing, or unsafe practices. It ensures protection for whistleblowers and explains when and how issues should be escalated internally or externally.
Safer recruitment policy
Explains the recruitment process designed to protect children and young people, covering advertising, applications, references, interviews, DBS checks, and induction. It highlights Switch Rugby’s commitment to safe and fair hiring.
Safeguarding policy
Details Switch Rugby’s responsibilities and approach to protecting children and young people. It covers recognising risks, reporting procedures, managing behaviour, bullying prevention, health and safety, and relevant legal frameworks.
LADO procedures
Outlines the process for reporting allegations against staff or volunteers to the Local Authority Designated Officer (LADO). It explains thresholds, responsibilities, and how Switch Rugby cooperates with investigations.
Complaints policy
Sets out how service users, families, and representatives can raise complaints or suggestions. It explains the process, timelines, confidentiality, and external escalation routes (e.g. the Local Government Ombudsman).
Behaviour code – children & young people
A clear code of conduct for young people participating in Switch Rugby activities. It explains expected behaviour, unacceptable actions, and the consequences of breaches, with emphasis on respect, safety, and cooperation.
Disciplinary policy
Outlines how Switch Rugby manages staff misconduct or breaches of standards. It explains informal and formal procedures, investigation processes, sanctions, appeals, and adherence to ACAS guidelines.
Attendance policy
Highlights the importance of regular attendance at provision, setting expectations for pupils, parents, and carers. It covers authorised vs. unauthorised absences, illness reporting, lateness, and escalation procedures.
Behaviour code – adults
Defines the professional standards expected from staff, trustees, and volunteers. It covers safeguarding responsibilities, maintaining appropriate relationships, respecting diversity, and the consequences of inappropriate behaviour.
Risk assessment – mentors using personal vehicles
Assesses the risks involved when mentors transport young people in their own cars. It covers driving safety, insurance, mechanical checks, adverse weather, accidents, passenger behaviour, and emergency procedures.
